ApplyGenius Privacy Policy
1. Scope and contact
ApplyGenius is operated by Apply Genius LLC, with a mailing address at 9169 W State St #3861, Garden City, ID 83714, United States ("ApplyGenius," "we," "us," or "our"). This policy covers personal information handled through our website, application, accounts, support and early-access list. It also covers related features introduced under the ApplyGenius name, subject to additional notices and choices described below. Privacy questions and requests: admin@applygenius.co.
Services can include job discovery and tracking, networking, coaching, communications, document preparation and assisted applications. Future tools, such as voice-assisted onboarding, browser extensions, assessments or additional integrations, may have their own notices before collecting new information. Describing a possible feature does not mean it is available or that we already collect its data.
2. Information and sources
- Account and contact information: names, email addresses, account identifiers, authentication records, profile pictures and preferences. Sources include you, an authorized career-services partner and an identity provider you select.
- Professional information and content: resumes, education and employment history, skills, career interests, location preferences, availability, compensation preferences, application answers, files, feedback and support correspondence. Sources include you and people authorized to assist you.
- Opportunities and relationships: jobs, companies, professional contacts, connections, relationship assessments, coach feedback, introduction requests and related communications. Sources include users, coaches, partners, authorized integrations, public professional sources and job or network-information providers.
- Connected-account and workflow information: account identifiers, connection status, permissions, messages, recipients, attachments, delivery information, application records and, for enabled application-account features, credentials and verification codes needed to carry out your instructions.
- Activity and technical information: feature interactions, preferences, application or outreach status, timestamps, IP addresses, device/browser information, session identifiers, errors and security records. Authorized browser-automation workflows may generate screenshots, execution logs or recordings containing information visible during the task.
- Transaction information: where paid offerings are available, orders, subscriptions, billing contacts, payment status and dispute records supplied by you, a billing partner or processor. Payment-detail collection is described in the applicable checkout.
Sensitive information. Application features may process work authorization, citizenship, demographic characteristics, disability, health accommodations, veteran status, criminal history or other sensitive matters when you provide them for a relevant workflow. Passwords, security codes and private communications also require special handling. We use this information for the requested function and necessary security, support or legal purposes, subject to applicable consent requirements. Do not provide unnecessary government identifiers, financial-account details or medical documents.
3. Service and business purposes
We use relevant information to authenticate accounts; provide, personalize and support services; match opportunities and relationships; prepare documents and answers; facilitate coaching and introductions; execute authorized communications and applications; record results; and respond to requests. We also use appropriate information to measure performance, improve features, develop related career and productivity services, prevent abuse, maintain business records, manage billing, enforce agreements, resolve disputes and comply with law. These purposes remain subject to this policy's source-specific and sensitive-data restrictions.
Service, security, marketing and early-access messages follow the notice and preferences applicable to the signup. Early-access registration alone does not create a product account, authorize outreach or enroll you in data licensing. A use outside the purpose originally disclosed requires an appropriate new notice and any required permission.
4. Google and other connected accounts
Google sign-in supplies basic identity information, such as an account identifier, email, name and profile picture where available, to authenticate and maintain your account. Google sign-in alone does not grant access to Gmail, Drive or Calendar. Optional inbox or professional-network connections have separate permissions. They can enable network mapping, outreach, replies, application correspondence or verification messages within your authorization. Disconnect through available settings, revoke access at the provider or contact us. Manage Google access at Google Account connections. Revocation does not automatically delete historical records.
Our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements where applicable. For Google Workspace data, the Workspace user-data policy also applies. We do not sell Google API user data, use it for advertising or license it for generalized AI-model training. Restrictions on derived or deidentified Google data are not removed by transforming it or receiving it through an intermediary.
For data subject to Google's Limited Use rules, transfers and human access are limited to permitted circumstances. Staff or contractors do not gain unrestricted access merely because they provide support. Reading specific messages or files requires the applicable affirmative user agreement unless a permitted security, legal or internal aggregated-use exception applies. A business transfer involving this data requires the applicable prior consent. These restrictions take precedence over general service, research, licensing and business-transfer language elsewhere.
5. AI assistance
Enabled AI features process relevant content through AI or automation providers to parse resumes, suggest profile information, prepare drafts, analyze opportunities or perform an authorized workflow. Preparing a response for you is distinct from licensing information for independent model training. Provider handling must be consistent with the permissions, contracts and notices for that feature. We do not make a universal zero-retention claim about third-party systems. AI output may be inaccurate; review important facts and materials before external use.
6. Research, insights and commercial data licensing
Eligible deidentified information. Where collection rights and source restrictions permit, we may create aggregated statistics and deidentified datasets for analytics, research, product development, benchmarking and commercial licensing, including AI training and evaluation. Deidentified means information that cannot reasonably be linked to an individual under the applicable standard, not simply information with names removed. We take reasonable measures against identification, maintain and use it in deidentified form, and require recipients contractually to do the same and not reidentify it, except for legally permitted deidentification testing. Restricted-source information is excluded when its terms prohibit the proposed use.
A future optional personal-data licensing program. We may offer a separately disclosed program under which selected professional information or contributed content is sold or licensed to research organizations, data-product businesses or AI developers, including for training and evaluating models used outside ApplyGenius. This may generate revenue for us. Before participation, a program notice will identify the information, sources, recipient categories, purposes, retention and withdrawal arrangements, and any compensation. Ordinary signup, Google sign-in or acceptance of terms does not enroll you. Personal information will not enter this program until the applicable notice, legal basis, permissions and privacy controls are in place.
Any such program excludes Google/API-restricted information and restricted derivatives, connected inbox or private-message content, passwords and codes, sensitive application answers, children's information, and third-party confidential material or content you lack authority to license. No general content license overrides those exclusions. Applicable sale/sharing opt-outs and deletion rights remain available; a policy update does not retroactively authorize uses inconsistent with earlier commitments.
7. Recipients
Service providers: providers of authentication, hosting, databases, file storage, communications, connected-account access, network analysis, AI/automation, payments, support and security receive information relevant to those functions under appropriate restrictions. Workflow recipients: partners, coaches, employers, application platforms and professional contacts receive information needed for services or external actions you authorize. A sponsoring career-services partner may receive relevant progress and service records as disclosed in that arrangement, not unrestricted inbox access.
Other recipients: we may disclose relevant information to advisers, authorities or other parties for legal compliance, legitimate protection of rights and safety, or investigating misuse; or during financing, reorganization, acquisition or sale of our business, subject to confidentiality, legal and source-specific restrictions. Commercial licensees are governed by Section 6, not classified as ordinary service providers merely because they have a contract with us.
Independent recipients handle information under their own policies. Deletion from ApplyGenius cannot necessarily recall an application or message already sent; we will still carry out required recipient notifications and other applicable obligations.
8. Retention and security
We retain each category only as reasonably necessary for its disclosed purpose, agreements and legal obligations. Relevant criteria include:
- Accounts, profiles, documents and preferences: the account relationship, requested services, correction/deletion requests and legally justified recordkeeping.
- Connected content and workflow artifacts: task completion, review, verification, troubleshooting and necessary dispute/compliance records, subject to shorter provider limits where applicable.
- Credentials and codes: the authorized account function and provider limits; one-time codes are not general-purpose historical or research data.
- Transactions, consents, support and security records: accounting or claims periods, evidence of permissions and obligations, and proportionate security needs.
- Early-access details: the requested updates, withdrawal and limited suppression/compliance records.
Restricted records may remain for legal holds, fraud prevention or defending claims. Backups may persist until rotation, subject to applicable access and deletion restrictions. Possible future commercialization is not itself a reason to retain identifiable information indefinitely. We use reasonable administrative, technical and organizational safeguards; no service guarantees absolute security.
9. Choices and privacy rights
Use available settings to update details, change preferences and disconnect integrations. Contact admin@applygenius.co or the mailing address above for access, a copy, correction, deletion, closure or help with permissions. Depending on your location and applicable law, rights may include restriction, objection, portability, consent withdrawal, appeal, or opting out of sale, targeted advertising or qualifying automated decisions. We respond under applicable deadlines and exceptions and do not unlawfully retaliate for exercising rights.
For access or deletion we may reasonably verify identity and an agent's authority. Sale/sharing opt-outs must not be burdened by unnecessary verification or account creation. Where required, we honor recognized preference signals such as Global Privacy Control. A launch of covered sale/sharing will include required notices and accessible opt-out methods, not just a reference to this policy.
Unsubscribe from marketing through available controls or by contacting us; necessary service messages may continue. Browser storage and similar technologies support sessions, preferences and security. Disabling them may affect functionality. Nonessential tracking or advertising requires applicable notices and choices before introduction.
10. International processing, age and changes
ApplyGenius is operated from the United States. Providers may process information elsewhere. We use legally required transfer safeguards where applicable; additional regional disclosures accompany offerings that require them. Acceptance of terms is not a universal waiver of transfer restrictions.
The service is intended for adults 18 and older. Contact us if a child supplied information. New features may require further permissions, notices or terms, including recording consent if a voice feature is introduced. This policy does not authorize every unknown future purpose.
We may revise this policy and will show its effective date. Material-change notices and new consent will be provided when required before a new use begins. Prior collection commitments, applicable rights and source restrictions continue to govern existing information unless a lawful change is made.
